As a Graduate Trainee Administrator, you will play a crucial role in ensuring the smooth operations of our office, spanning general administration, finance, hr and marketing. You'll work closely with the Managing Director who we train you in all aspects of running the core operations of a business.

With a natural route of progression in this role being; Senior Administrator, Office Coordinator, Office Manager, then Operations Manager. With this in mind, we're very much looking for a driven individual to join the team who take a proactive approach to grow their career with the same company.

The Graduate Trainee Administrator Role:

Business Support

  • Manage incoming calls, take messages, and transfer calls efficiently.
  • Producing daily/weekly reports for the Divisional Manager and the Marketing Executive
  • Prepare offer letters and contracts of employment for new hires.
  • Update and maintain HR files, including training, sickness and holiday records.
  • Maintaining H&S records and ensuring that corporate obligations are met.
  • Generate daily and weekly reports as required.
  • Prepare IT equipment for new starters including laptops, software access, email accounts etc.
  • Liaise with external suppliers to resolve technical issues.
  • Place orders for stationery and office supplies
  • Handle requests for data protection removal.

Marketing Support

  • Assist the Marketing Executive in creating engaging email marketing & social media campaigns.
  • Handle central marketing enquiries mailboxes, social media inboxes and responding promptly.
  • Organise monthly social and team building events to foster a positive work culture.
  • Gathering imagery and videos from social events for use in our marketing
  • Extract relevant data from CRM systems for use by the marketing team.

Finance Support

  • Generate customer invoices and perform basic credit control tasks.
  • Adding supplier invoices, manage staff expenses, and process payments.
  • Assisting with internal payroll and with payments
  • Bank Reconciliations and Account Reconciliations
  • Handling queries that come into the accounts mailbox

THE PERSON

  • A recent graduate, ideally within Business Management, however, we're open to considering an individual with a degree in any discipline.
  • Naturally positive individual who is a confident communicator that brings energy to the room.
  • Excellent attention to detail is a must for this role.
  • Proactive individual who seeks out areas of improvement and can lead on small projects.
  • Any experience within an Administrative or Customer Service role would be an advantage but is not essential.
  • Intermediate proficiency in MS Word, Excel, and Outlook.
